Administrative Assistant (Driver)

Job Summary
The Administrative Assistant (Driver) will ensure that staff and visitors are driven safely and on time, maintain office vehicles and equipment, conduct safety checks, and provide general administrative support to the Uganda Country Programme. The role also involves preparing motor vehicle reports, supporting office administration, and ensuring compliance with organisational policies.
Key Responsibilities
Driving Responsibilities (50%)
Safely transport staff and visitors to their destinations.
Ensure appointments for pick-ups and drop-offs are timely.
Record all journeys on log sheets, signed by passengers.
Prepare monthly vehicle reports as per motor vehicle management policy.
Coordinate daily work schedules with the Administrative Assistant (Reception).
Maintain office vehicles in good condition and report any incidents.
Ensure vehicles are secured, clean, and serviced as required.
Follow up on vehicle repairs, maintenance, insurance, and fuel top-up requests.
Office Administration (50%)
Manage office assets, including requisitioning, tagging, and stock management.
Conduct safety checks to ensure a hazard-free office environment.
Undertake maintenance and repair works for office assets, fixtures, and equipment.
Supervise contractors and manage service schedules for office equipment.
Renew business permits, certifications, and memberships.
Document management, filing, and archiving.
Track and implement health, safety, and security audit recommendations.
Provide support for compliance with travel policies.
Cover receptionist duties when required.
Perform any other duties assigned by the line manager.
Corporate Responsibilities
Promote and adhere to TMA’s core values and policies.
Maintain zero tolerance for bribery, fraud, and corruption; report any incidents immediately.
Adhere to safeguarding policies and report any concerns promptly.
Apply sound risk management practices and escalate issues appropriately.
Complete all mandatory trainings within stipulated timelines.
Qualifications and Experience
Diploma plus 2 years relevant experience, or Secondary School Certificate plus 5 years relevant experience.
Technician certificate or diploma in electrical studies, plumbing, or related field.
Valid driving licence (B, CM, CH & CE) with 5 years accident-free driving.
Up-to-date Certificate of Good Conduct.
Technical Skills and Competencies
Computer literate with basic MS Office proficiency.
Ability to handle multiple tasks and provide regular progress feedback.
Strong planning, organizing, and prioritization skills.
Excellent interpersonal and communication skills.
Dependable, responsible, honest, hardworking, and positive attitude.
Willingness to work outside normal office hours.
First aid and defensive driving skills are desirable.
Solution-oriented mindset.
Risks Associated with the Role
Road accidents and hijacking.
Fraud due to interaction with vendors.
Loss of assets due to inadequate record-keeping and tracking.
