About the Project
Heifer International Uganda, in partnership with the Mastercard Foundation, is implementing the Stimulating Agribusiness for Youth Employment (SAYE) project across 11 districts in Busoga (Jinja, Mayuge, Iganga, Kamuli, Kaliro, Namutumba, Bugweri, Luuka, Buyende, Namayingo, and Bugiri) and 3 districts in Buganda. The project is delivered in collaboration with CURAD, FSME, FSD Uganda, and ASIGMA Group, with the goal of creating dignified employment opportunities for young people through agribusiness.
Job Purpose
Reporting to the Procurement and Administration Officer, the Administrative Assistant will serve as the primary point of contact for visitors, consultants, and project partners while providing efficient administrative and logistical support. The role is responsible for ensuring smooth office operations, records management, logistics coordination, travel arrangements, procurement support, and adherence to safety and security procedures.
Key Responsibilities
Office Administration & Logistics
Manage the front office and receive visitors, consultants, and partners professionally.
Receive, record, distribute, and dispatch official correspondence.
Maintain a clean, organized, and professional office environment.
Provide administrative and logistical support to the Project Director.
Procurement & Stores Management
Monitor inventory levels and conduct quarterly stock verification.
Support procurement processes, including receiving goods and maintaining procurement records.
Maintain and update office asset registers and ensure assets are adequately insured.
Fleet Management
Coordinate vehicle allocation and transportation logistics.
Schedule maintenance and servicing of vehicles, generators, and other equipment.
Monitor fuel consumption and vehicle utilization, recommending improvements where necessary.
Learning & Continuous Improvement
Keep up to date with emerging trends and best practices in NGO administration.
Participate in continuous learning and contribute to knowledge-sharing initiatives.
Qualifications & Experience
Bachelor's degree in Business Administration, Office Management, Public Administration, or a related field.
Professional certification in Procurement or Logistics is an added advantage.
Minimum of five (5) years of relevant work experience, including at least three (3) years in office administration and support roles.
Experience working with development organizations or NGOs is highly desirable.
Strong interpersonal, organizational, communication, and stakeholder management skills.
Ability to work effectively in a team-oriented environment.
