The primary responsibility of this role will be to support the infrastructure and delivery teams in leveraging IT systems effectively, managing and organising records and information, and ensuring data accuracy. The successful candidate will collaborate with cross-functional teams to gather, analyse, and present organisational data. Proficiency in records management, IT systems, and strong attention to detail are essential for this position. The role is full time based on a one year contract with a possibility of renewal.

Key Responsibilities :
- IT Systems and Tools:
- Provide technical support and training to delivery and infrastructure teams on using IT systems and software for document management, collaboration, and version control.
- Stay updated on emerging technologies and tools related to organisation management and recommend improvements or enhancements to existing systems.
- Records Management:
- Develop and implement a comprehensive records management plan for documents, including tracking, version control, and archiving.
- Create and maintain a systematic filing and retrieval system for all records.
- Ensure compliance with document control procedures, internal policies, and industry standards.
- Coordinate with team members to collect and organise information, including past performance records, resumes, project references, and other supporting documentation.
- Conduct regular audits to ensure accuracy, completeness, and compliance of records.
- Data Analysis and Reporting:
- Analyse data to identify trends, patterns, and insights that can support the development of winning proposals, reports and sales material.
- Conduct quality checks on proposal data to ensure accuracy and consistency.
- Collaboration and Communication:
- Work closely with proposal teams to gather, organise, and synthesise information for proposal development.
- Collaborate with subject matter experts and team members to ensure accurate and timely delivery of proposal-related data and documentation.
- Communicate effectively with team members to ensure clarity and alignment on records management processes, IT systems, and data requirements.
- Participate in proposal kick-off meetings and contribute to discussions on data management, document organisation, and best practices.
- Graphics design:
- Creating aesthetically pleasing graphics that accompany written text for documents, reports and social media.
- Bachelor's degree in Information Technology , Computer Science, Business, or a related field.
- Proven experience in IT-related roles, records management, document control, or, preferably within a business development environment.
- Proficiency in IT systems, document management software, and collaboration tools.
- Strong knowledge of records management principles, document control procedures, and industry standards.
- Experience with data analysis and reporting, using tools such as Excel, SQL, or business intelligence platforms.
- Excellent attention to detail and organisational skills, with the ability to manage multiple tasks and meet deadlines.
- Strong analytical and problem-solving abilities, with the capacity to derive meaningful insights from complex data sets.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
- Familiarity with the business development lifecycle and an understanding of business best practices is a plus.
